Profitroom, KWHotel or Hotres - choosing a hotel system for your website

You run a hotel, guest house or group of apartments and need a booking system. Profitroom, KWHotel and Hotres are three of the most popular choices in Poland, each with a distinct set of strengths and a way to connect with a hotel website.

The right choice depends on property size, budget and the work the system needs to handle, so focus on the practical differences, indicative costs and integration options that matter to your operation.

What are a channel manager and booking engine?

Hoteliers sometimes use these terms interchangeably, although they describe two separate tools with different jobs in the booking process:

Channel Manager

Synchronises room availability and rates across Booking.com, Expedia, Airbnb and other portals. Change a price in one place and the channel manager updates every connected channel, reducing the risk of overbooking.

Booking Engine

Runs direct reservations on your own website. The guest selects dates and a room, then books without an intermediary. There is no portal commission, so the margin stays with the property.

The strongest hotel systems combine both tools in one package, but the quality of each part varies enough to make a close comparison useful.

Profitroom - a full suite for larger properties

Profitroom is a Polish platform that has grown into a hospitality technology leader in Central Europe, with a package covering PMS property management, a channel manager, booking engine, CRM, marketing tools and analytics.

  • Premium booking engine - polished, fast and responsive. It sits comfortably on a hotel website and can improve conversion.
  • Wide channel manager coverage - connections with Booking.com, Expedia, Airbnb, HRS and dozens of other portals.
  • Marketing tools - email marketing, dynamic pricing and revenue management reports.
  • Dedicated account manager - a named person to call when something goes wrong.

Points to consider

Profitroom is a premium product with pricing to match. A 10-room guest house may use under half of the feature set while paying for the whole package. It fits hotels with 30 or more rooms especially well, where increasing direct-booking revenue can justify the cost.

KWHotel - flexible and affordable

KWHotel is a Polish PMS known for flexibility and accessible pricing, while its free edition makes the product attractive to people opening their first hospitality business.

  • Free version for the first test - try the system without cost and see how it fits the property.
  • Local or cloud installation - choose a computer-based installation or an online service.
  • Its own booking engine - the form can be embedded on a website, although the visual finish is behind Profitroom.
  • Channel manager integrations - works with YieldPlanet and other established providers.

Points to consider

The interface feels dated, and KWHotel Free also has substantial limits, including no channel manager integration or automatic guest email. KWHotel Pro uses a useful one-off licence, though extra modules increase the final price and its fairly basic booking engine may feel awkward to guests used to current consumer interfaces.

Hotres - an established Polish hotel system

Hotres has served the Polish market for years and is used by hundreds of properties, from small guest houses to large hotels, through a cloud product that runs in the browser with no local installation.

  • Easy to learn - reception staff can understand the daily workflow within one day.
  • Built-in channel manager - synchronises Booking.com, Expedia and other portals from one panel.
  • Booking engine included - supplies a reservation widget for the website.
  • Subscription pricing - monthly payments avoid a large initial investment.

Points to consider

The owner panel works well, although its interface could feel more current, and the booking engine also sits below Profitroom in visual quality. Large properties needing advanced revenue management, CRM and dynamic pricing may miss some functions, while Hotres handles the core work reliably for a property with up to 50 rooms.

Quick comparison

Profitroom - Cloud (SaaS) / Price: higher subscription / Booking Engine: premium / Channel Manager: built in / Best for: hotels with 30+ rooms

KWHotel - Local or cloud / Price: low, with a one-off fee plus modules / Booking Engine: basic / Channel Manager: through integration / Best for: small and new properties

Hotres - Cloud (SaaS) / Price: mid-range subscription / Booking Engine: good / Channel Manager: built in / Best for: properties with 10-50 rooms

How do you connect a booking system with a website?

The hotel system provides half the direct-booking setup. Your website provides the other half. If guests cannot reserve a room easily on the site, they will return to Booking.com and the property will pay 15-20% commission.

When planning a new property website, begin with our guide to what a hotel website should include, then choose the booking platform around those requirements.

There are three common ways to integrate the booking engine:

Option 1: Widget or iframe

The simplest method. The provider gives you an HTML snippet, which is pasted into the website to display a booking form. The drawback is visible. A widget can look foreign, load slowly and break the visual flow, making guests feel the jump into a different service and reducing trust and conversion.

Option 2: Custom API integration

A developer connects the website directly with the hotel platform API. The booking form follows the website design, loads quickly and avoids unnecessary external scripts. Guests move through one continuous experience. This route takes extra development and careful integration work at the beginning, and the quality difference is substantial.

Option 3: A custom website with booking built in

The whole hotel website is designed around direct reservations. Its booking form belongs to the visual system because good UX design directly affects conversion. Live availability and rates flow from the hotel platform API, such as Profitroom, into the website in real time.

"Every reservation made through Booking.com costs 15-20% in commission. With 100 rooms and an average rate of PLN 300 per night, that can exceed PLN 150,000 a year paid to the portal. A strong website with its own booking engine can repay itself within months."

Which system suits each type of property?

Property size and operating model point towards some fairly clear recommendations.

Small guest house or apartments, up to 15 rooms

Recommendation: begin with KWHotel Free, then move to KWHotel Pro. The cost is low and the team can test it without commitment. Booking.com can be handled manually at the beginning, with a channel manager added later. Hotres is also a sound option because of its accessible subscription.

Medium hotel, 15-50 rooms

Recommendation: Hotres or KWHotel Pro with a channel manager. The property needs automatic portal synchronisation and a decent website booking engine. Hotres includes both at a reasonable price, while KWHotel Pro paired with YieldPlanet also works well.

Large hotel or group, 50+ rooms

Recommendation: Profitroom. At this scale, the premium investment can repay itself because dynamic pricing, advanced analytics, CRM and a professional booking engine all affect revenue. Pair it with a custom website using the Profitroom API to create a powerful direct-booking channel.

Summary

Each platform serves a different kind of property. Profitroom leads on features and booking engine quality, with the highest price of the three, while KWHotel offers a strong price-to-function ratio for a new or smaller operation. Hotres occupies the middle, combining a reliable channel manager and booking engine without an exceptional bill.

The booking system needs an equally capable website. Professional design, fast loading and a close booking engine integration give guests a reason to reserve directly with the property.

That is the work we do at 234.studio. We create hotel websites from scratch around direct reservations and connect them with Profitroom, KWHotel or Hotres. The result is a fast, continuous booking experience that turns website visitors into guests.

Common questions

How much does booking engine integration cost on a hotel website?
Basic integration through a widget or iframe is usually free because the system provider supplies the code. A custom API integration, where the booking form follows the website design, costs around PLN 3,000-8,000 depending on complexity. Higher direct-booking conversion can repay that investment quickly.
Can I change hotel systems without losing bookings?
Yes. Most providers allow data export, so migration between systems is possible. Plan the move outside peak season and make sure the channel manager switches cleanly to prevent overbooking during the transition.
Is my own website worthwhile when I already have a Booking.com profile?
Yes. Booking.com charges 15-20% commission on every reservation. A website with a good booking engine accepts direct bookings without that portal fee. Moving even 30% of reservations to your own site can save tens of thousands of zlotys each year.
How long does it take to build a website with a booking engine?
A hotel website with full booking system integration usually takes 4-8 weeks. That covers visual design, development, integration with the hotel system API, testing and launch. The finished website is built to generate direct bookings.
Does 234.studio integrate Profitroom, KWHotel and Hotres?
Yes. We have experience with all three systems. Our hotel websites connect directly with their APIs, allowing the booking form to work smoothly and look like an integral part of the site.
